About the Role

The Client Coordinator is the face and voice of Pure Aesthetics, the first person clients see and the calm, capable presence that carries them through their visit. As a central part of the client journey, from first inquiry through consultation, treatment, and follow-up, this role blends genuine hospitality with administrative precision, keeping the front of house running smoothly while making every client feel genuinely welcomed and well cared for.

We’re looking for someone poised, organized, and sincerely warm, who thrives in a busy environment and can juggle competing priorities, a full phone line, and a lobby of clients without losing composure. You take pride in the details, anticipate needs before they’re spoken, and understand that how a prospect is treated at every touchpoint shapes their confidence in Pure and their decision to trust us with their care.

Duties & Responsibilities

• Front Desk & Concierge. Greet arriving clients by name, manage check-ins and check-outs, offer refreshments, and keep the reception area tidy, serene, and welcoming so every visit begins on a gracious note.
• Scheduling. Coordinate treatment calendars in our booking software, optimize provider time across the day, confirm upcoming appointments, and manage the waitlist and rebookings to keep the schedule full and running on time.
• Communication & Inquiries. Field phone calls, emails, and online inquiries about our treatments and services, including injectables, laser, facials, and skincare, answering questions accurately and warmly and routing clinical questions to the right provider.
• Representing Pure. Confidently convey what sets Pure Aesthetics apart, from our providers’ credentials and expertise to the quality of our treatments and the results clients can expect. Help prospects understand the value of our care, address hesitations, and feel confident choosing Pure.
• Lead Handling & Follow-Up. Respond promptly to new inquiries from calls, web forms, and social, log and track each lead through our system, and follow up consistently to convert interest into booked consultations and treatments. Reconnect with past clients about rebooking and new offerings.
• Sales Support & Retail. Share information on our retail skincare lines, process point-of-sale transactions, and help promote seasonal specials and package or membership options, always recommending honestly and in the client’s best interest.
• Clinic Flow & Client Journey. Serve as a steady point of contact throughout each client’s experience, liaising between arriving clients and our clinical team (NPs, PAs, and Estheticians), ensuring smooth room turnarounds, and guiding clients warmly from check-in through treatment and follow-up so the entire journey feels seamless and unhurried.
• Opening & Closing. Prepare the space each morning and reset it at the end of the day, ensuring reception and retail areas are stocked, presentable, and ready to receive clients.
• Records & Privacy. Manage client intake paperwork, document consent forms, keep client records accurate and current, and uphold strict HIPAA compliance at all times.
